Setting up a trade show public relations program for The Motivation Show is one of the most effective marketing tools you can use to differentiate your exhibit from you competition.

How effective? Reaching even a small percentage of the thousands of buyers who attend The Motivation Show is considered a great marketing success. Through the public relations program outlined below, you can bring word of your company to hundreds of thousands of prospects.

It's easy to do, inexpensive and targeted to The Motivation Show marketplace. Best of all, we already have done most of the work for you and there is no charge for these services.

Here's a step-by-step outline for public relations success at The Motivation Show.

1.       Prepare or have your pr department or agency prepare a press release describing the products or services that you will be offering in your exhibit. Be sure the press release includes your booth number so that members of the news media can find you on the show floor. For help in writing a press release, click here.

The press release also should include a good photograph of your product or service. You should have both a high resolution e-mail format and a print so that you can supply the news media with whatever they need.

2.       Send this press release to motivationshow@aol.com. We will post your release on the Exhibitor Press Release section of The Motivation Show website http://www.motivationshow.com/. This will help both the news media and buyers determine what products and services are available at The Motivation Show. We also will use the information from your release and others in press releases and e-mails to the news media about interesting products and services at The Motivation Show.

3.       To send your press release to The 2006 Motivation Show Media List, click here. This list contains names and contact information of members of the news media who attended last year's show or who expressed interest in this year's event. It is updated regularly to be as accurate as possible. Most members of the news media prefer e-mail, but regular mail is acceptable, especially if there is no e-mail address listed on our media list.

Sending the press release has two purposes. The first is to interest members of the news media in your products or service so that they will visit your exhibit during the show for post-show coverage. The second is to generate pre-show visibility for your company's participation in The Motivation Show.

You may also include a personal letter with your release inviting the individual member of the news media to stop by your booth and see your products personally. Or, if you have time, you can call them individually. These are very effective methods of gaining visibility for your company and an edge on your competition. If you feel your product or service is worthy of coverage by the consumer media, such as local TV or newspapers, a telephone call to the names on the Chicago portion of media list is a must, usually at least two weeks before the show.

PLEASE NOTE THAT TO OBTAIN PRE-SHOW COVERAGE IN MAGAZINES, YOU MUST SEND OUT YOUR PRESS RELEASES BY JUNE 15, 2006.

5.       We also keep a master schedule of press events at The Motivation Show. He also can provide consul on when and where to hold the event, who to contact to reserve a meeting room and to order refreshments and audio-visual services.

6.       Bring 10 copies of your press release or press kit to The Motivation Show press Room. These can be hand carried to the Press Room, next to the Show Office, or sent in advance by mail to: Press Room, The Motivation Show, c/o GES Exposition Services, McCormick Place South, 2301 S. Lake Shore Dr., Chicago, IL 60616. These kits will be put on display in the Press Room for members of the news media to examine and take with them if desired.

7.       Send your release to "Motivation Strategies." This publication is affiliated with The Motivation Show and publishes special pre-show, at-show and post-show issues. While it is not a show daily, it devotes a large amount of space to the products and services available at The Motivation Show. See Press Attendees.

This simple seven-step process will go a long way to helping your exhibit stand out against your competition. If you do any of the 7 steps listed, you will be doing more than 90 percent of the exhibitors at The Motivation Show. And remember, any stories that result from your efforts not only reach attendees to The Motivation Show. The stories also reach the thousands of readers or viewers who see the story, but who cannot attend the show.

Plus, you can take a published story and, with the editor's permission, reproduce it and direct it right at the people you want to see it.

How to write a press release that gets the publicity you need

You have 10 seconds to grab the attention of an editor who reads your press release, experts agree.

The best ways to do this are to write a good headline and a short first paragraph. Make sure the headline says something that will get the editor's attention fast. Then, strike a major chord with your opening sentence.

The press release needs to be of real news value to reporters who cover The Motivation Show. For example, a new product or service being introduced at the show has a high news value. But a simple line extension or change in color of a product does not.

Press releases also can be written about a product that has been in the marketplace for some time. This story can interest reporters if it emphasizes new applications, such as an incentive or shows how the product has affected many people in the industry. Stories about new trends, such as the move toward greater individual incentive travel, interest news media members. So do topical stories, such as changes in incentive travel patterns since 911.

Once you have the editor's attention, keep him reading by preparing the release in the style editors want. The number one complaint by editors about press releases is that they "sound like advertising." Avoid this problem by writing the release in the third person and by attributing any value judgments to an individual who is completely identified. Do not include sales sheets in your press material.

Structure your release in what editors call the "inverted pyramid." The most important information -- the who, what, where, when and why -- of your news story is in the first few paragraphs. This reverse pyramid structure allows an editor to cut your release, if space or time requires, from the bottom up. By the way, be sure that your booth number at The Motivation Show is part of this important information.

Follow that information with quotes from company spokes people, statistics and any other relevant information that you feel make the press release news worthy.

At the end of the release, include contact information about where the reader of the news story, when it is published, should go to for more information. In today's world, this often is your company's website address.

In contrast, the information about whom the editor should contact to get more information in case they want to write a more detailed story should go above the headline of your press release.

Write economically. Use simple words and keep your sentences to 25 words or less. Keep your paragraphs short as well. They are easier to read.

Also, write accurately. Errors undermine your credibility and put the use of your release in danger. Doublecheck your facts and also your grammar, spelling and typing. Another danger to credibility is the use of superlatives such as "best, biggest, most and unique." Avoid them in your press releases.

Finally, keep your press release slimmed down to a manageable size. Few successful releases are more than two pages in length. The editor is looking for highlights of your product or service that can be grasped quickly. If you release needs more than two pages, you probably should write two separate releases.
